Fortiva Solution Cuts Email Surveillance Time by Nearly 80 Per Cent, Survey Shows

January 18, 2007; 05:29 AM
According to a recent survey conducted by Fortiva, a provider of secure, managed email archiving, and Jeffrey Plotkin, a securities enforcement specialist and partner with the law firm Day Pitney LLP, Fortiva customers spend 80 per cent less time than non-Fortiva customers on message reviewing activities. Fortiva customers spend 4 hours per week on message monitoring and review activities compared to 19 hours per week spent by non-Fortiva customers on comparable activities.

"We switched to Fortiva after using two other email archiving services that just weren’t performing as we expected and we are really impressed with how much faster and easier it is for us to search and review emails," said Robert Jeffords, Chief Compliance Officer at Detwiler, Mitchell, Fenton & Graves, Inc., an NASD Broker Dealer and SEC Registered Investment Adviser. "In this regulatory environment when speed, timing and efficiency is of the essence, Fortiva not only searches our vast email, IM and Bloomberg archive in a matter of seconds, it automatically gives our managers unique and random review queues and easily exports to PST format when doing document production. In addition, Fortiva is the only system I know of that has a ‘DoubleBlind Encryption’ security that prevents unauthorized viewing of our data, even from Fortiva’s own staff."

Fortiva’s Supervision module uses intelligent-caching technology that allows reviewers to go from one message to the next instantly, dramatically speeding up the review process. In addition to a rapid response time, Fortiva offers advanced searching capabilities, including searching for specific topics within specific mailboxes, making it easier to review potential problem areas. The easy-to-use web-based interface also gives the compliance officer full control over customizing and updating review policies to meet an evolving supervision process.

"Email is now an important form of evidence in legal proceedings and the list of regulatory compliance rules governing email retention continues to grow. This means there is a greater need for businesses to know what kind of email their employees are sending and receiving," said Chris Moores, Director of Professional Services, Fortiva Inc. "The flexibility of our Supervision module and our focus on performance allows companies to spend less time and effort reviewing electronic communications while making it easier than ever to reduce exposure to email risks."

In addition to helping businesses address legal and compliance risks, email surveillance can also improve insight into business activities. By making the Supervision module flexible and easy to use, Fortiva is making it possible for companies to meet these goals with very little impact on staff’s workload and without changing any existing supervision review workflow processes.
